Decoupling from complexity to provide fast, secure access to insights
In complex global environments, organizations often lack transparency into how their processes actually run across systems and teams. Running on AWS Cloud, ARIS addresses this with a single, integrated Process Intelligence platform, combining process mining, modeling, analytics, and governance to deliver end‑to‑end visibility and continuous optimization. By connecting business and IT, ARIS links strategy with execution; this enables organizations to simplify operations, improve performance, and stay in control.
As this transparency becomes the foundation for automation and AI-driven decisions, secure and governed access becomes critical, making Identity and Access Management (IAM) a key enabler. When ARIS separated from its parent company to operate as an independent business, this need became immediate.
The inherited CIAM landscape was overly complex, costly, and operationally heavy, requiring dedicated effort to maintain and slowing down innovation. Each new customer-facing application required weeks of custom identity integration, turning identity into a bottleneck rather than an enabler. To support scalability, speed, and simplicity, ARIS needed to move from a complex, engineering-heavy setup to a streamlined, flexible IAM foundation.
“For our current scope and mission, the previous CIAM solution was too complex and expensive,” says Desislava Bogdanova, director IAM, ARIS. “The heavy level of customization led to high operational costs, and it didn't allow us to focus on providing customer value, which is the primary mission of ARIS.”
Adopting an agile approach to identity with a seamless weekend migration
ARIS needed a solution that could decouple identity from their complexity constraints and replace custom-coded maintenance with standardized, scalable building blocks. To reclaim their autonomy, ARIS turned to Auth0.
The migration itself served as an early proof of the platform’s efficiency. ARIS needed to move their entire user base to the cloud without disrupting the operations of their global 2,000 customers. Working closely with the Okta Professional Services team, ARIS used standardized scripts and documentation to execute a transition that saw more than 16,000 external identities and 1000 internal identities moved over a single weekend with no customer downtime.
To ensure their own employees could transition just as easily, ARIS used Enterprise Connections to federate with their internal systems. This linked their main internal directory to the new platform, enabling a Single Sign-On (SSO) experience where staff were authenticated immediately without the need for manual passwords.
“The Okta team offered easy and quick communication, even working through the weekend to help us build the quickest path forward,” says Mario Kostov, IAM administrator, ARIS. “It was one of the smoothest migrations we have ever done, moving our identities and customer-facing applications in 48 hours without any downtime.”
Accelerating deployment with Auth0 Actions
The technical heart of the transformation lies in how the team now handles authentication logic. In the previous system, a standard login journey — such as checking a user's existence and verifying theirmulti-factor authentication status — required around numerous discrete logic blocks. Because this logic was so fragmented and required manual programming, building and testing a new journey was a lengthy ordeal.
With Universal Login and Actions, the team replaced these numerous blocks with a few specific triggers within the Auth0 pipeline. This streamlined approach allowed ARIS to reduce the time it takes to deploy new identity features from 5 days to approximately 24 hours, a reduction of 80%.
“In the old system, we dealt with 10 blocks, but now with Auth0, we have three or four,” says Kostov. “I can build something and test it by the end of the day. If something is wrong, I can revert it instantly.”
This agility is further enhanced by a simplified deployment pipeline. Previously, every minor update had to be manually promoted through development, staging, and production environments, which was a tedious sequence of copying and pasting logic that added hours of overhead to every change. With the cloud-native architecture of Auth0, ARIS has eliminated this manual promotion process, allowing the team to push updates with total confidence.
“Our old environment required 30 to 40 minutes just to move a change between each environment,” Kostov explains. “With Auth0, everything is straightforward. It’s easier and faster, which was a key reason for the move.”
Saving time managing identity to dedicate more time to customers
The shift to Auth0 resulted in a 10x reduction in overall identity costs for ARIS while providing a modern, enterprise-grade security posture. This efficiency has fundamentally changed how the team works. While the previous system required two full-time employees to manage, a single administrator now handles the entire environment alone.
This time has been redirected toward the customer experience. For example, when the team noticed users were confused between the ARIS login page and the ARIS Academy learning platform, they were able to act immediately. Using the branding tools in Auth0, they differentiated the interfaces to provide a clearer, more intuitive journey for members.
“Previously, I never had time to speak to customers because we were always trying to catch up with development work,” Kostov says. “Now, we have the time to hear our customers one to one and make changes that truly improve their experience.”
As ARIS continues to evolve their platform, they plan to expand their identity architecture by introducing open registration. This capability will establish a single source of truth within the platform, allowing users to navigate multiple standalone applications with a single, centralized account.
